Reservations will be honored on a first-come, first-served basis until the allocated slots, negotiated with UCLA Catering and Housing, are filled. If additional bookings are required, we will contact you and work with UCLA Catering and Housing to renegotiate availability, keeping the affected participants informed throughout the process.
Please, book early in order to ensure availability of the slots.
While we are in the process of setting up a payment site, this may take some time. For now, we kindly request that you submit a pre-booking to help us determine whether additional rooms need to be allocated beyond those currently reserved.
We anticipate sending a payment link in late January or February, and there will be a limited window to finalize your booking and submit payment.
Pledge: By filling out the pre-booking form, you agree to reserve and pay for the dorm accommodations once we provide the payment link.
Note 1: If there’s any specific consideration you’d like us to know (e.g., pending approval of poster or talk submission), please share it in the “Special Request” field on the form, and we will consider it. At this time, it is important for us to know the number of people genuinely interested in the dorm accommodations to plan contractual obligations.
Note 2: Alternative arrangements for scheduling payments can be made, as long as full payment is made at least one month before the conference, and participation is confirmed. If you expect you may need alternative arrangements, please indicate so in the “Special Requests” box below. Our goal is to allow all interested participants the opportunity to book the dorms, at the same time fulfilling our existing contractual obbligations with UCLA Catering and Housing and avoiding requesting additional rooms unless there is a documented and committed need for such accommodations.

Please note that dorm rooms must be booked as a block for the entire duration of the conference.
Requests for shorter stays or special accommodations outside these standard arrangements could be considered under exceptional circumstances and are subject to availability and organizational constraints. While we will do our best to accommodate reasonable requests, such requests cannot be guaranteed at the moment, and will require additional coordination and possible negotiations of the LOC with UCLA Catering and Housing later in January and February. If absolutely necessary, please provide a request and explanation in the “Special Requests” section of the pre-booking form.
Accommodation Pricing
UCLA dorms offer a convenient and affordable lodging option during the conference, with a variety of room types available to suit different preferences:
- Private Bath Accommodations: Single or double occupancy rooms with a private bathroom.
- Shared Bath Accommodations: Single or double occupancy rooms with a shared bathroom between two rooms.

The accommodation package includes:
- A meal plan with breakfast and lunch served at the UCLA Commons. The plan begins with breakfast the morning after your arrival and ends with lunch on the day of your departure.
- All applicable local and state taxes.
- Note: Credit card fees (approximately 4%) are not included.
Please note that, due to limited availability, room selection between private and shared bathrooms will be accommodated on a first-come, first-served basis. Should adjustments to room assignments become necessary, we will communicate directly with the affected participants.
Limited Three-Person Occupancy Rooms
A small number of rooms may be available for three-person occupancy at the following rates (per room, per night):
- Private Bath Triple: $348/night
- Shared Bath Triple: $333/night
Please note that these rates are contingent on renegotiating our contract with UCLA Catering and Housing. To proceed with this option, we need to first understand interest in triple occupancy rooms in order to avoid potential financial losses. By completing the pre-booking form, you kindly confirm your commitment to reserve and finalize payment for this type of dorm accommodations once the payment link is made available.
